- aprire la riunione e fissare l’obiettivo;
- introdurre un punto;
- chiedere un chiarimento;
- interrompere senza perdere il turno;
- distinguere una decisione da una questione aperta;
- assegnare un’azione e una data;
- verificare che l’altra persona abbia capito.
Una mini-agenda in inglese può essere:
“I suggest we cover three points today: the status of the transaction, the outstanding contractual issue and the next steps. By the end of the call, we should have an owner and a date for each action.”
- “Thanks for joining. The purpose of today’s call is to decide how we respond to the notice.”
- “I suggest we start with the timeline, then move to the contractual options.”
- “By the end of the meeting, we should have a clear position on the revised wording.”
- “Before we begin, is there anything urgent that needs to be added to the agenda?”
“We will explain the two options, the main risk attached to each one and the action we recommend.”
- “Could I add one point before we move on?”
- “If I may, there is one detail we should clarify.”
- “I’d like to come back to the notice period before we close this point.”
Per cedere la parola:
- “Laura, would you like to take that one?”
- “I’ll pause there and let David explain the process.”
Per interrompere con rispetto:
“Sorry to interrupt, but the distinction between notice and termination affects the next step.”
Per ricondurre la conversazione al punto:
“Let me bring us back to the question we need to answer.”
- “When you say ‘approved’, do you mean approved internally or signed by the other party?”
- “Just to make sure I’ve understood: you received the notice on Friday, correct?”
- “Could you walk me through what happened after the email was sent?”
- “When you refer to ‘the deadline’, which date do you have in mind?”
Se ti serve tempo per elaborare:
“Let me check that I have the sequence right before I answer.”
“There are two separate issues here. I’ll deal with the contractual point first, then the practical consequence.”
Per verificare la comprensione, evita il generico “Do you understand?”:
“Would it help if I applied that to the current timeline?”
oppure:
“Before we move on, can we confirm who would be responsible for sending the notice?”
- “Can everyone hear me clearly?”
- “Can you see the document I’m sharing?”
- “You froze after ‘termination’. Could you repeat the last sentence?”
- “I lost the audio for a few seconds. What was the date you mentioned?”
- “I’ll stop sharing for a moment so we can focus on the timeline.”
“If the connection drops, I’ll send the three open points by email and we can confirm them in writing.”
“We’ve agreed that the revised draft will use the shorter notice period. The governing-law point remains open and needs internal confirmation.”
Poi assegna le azioni:
- “We’ll send the revised wording by Thursday.”
- “Your team will confirm the technical schedule.”
- “I’ll circulate a short summary after the call.”
- “Can we confirm the owner and deadline for each action?”
Chiudi con un controllo:
“Before we finish, is there any point that could prevent us from taking the next step?”
“We have a provisional position, subject to the wording being agreed.”
- “I have a doubt” spesso comunica perplessità; per una domanda usa “I have a question.”
- “I will say you” va sostituito con “I’ll tell you.”
- “We have to do a meeting” diventa “We need to have a meeting.”
- “The document is ready to be signed by the client” può essere più chiaro come “The client is ready to sign the document.”
“The supplier may have to cover certain losses if a third party brings a claim, subject to the conditions in the clause.”
